Privacy Statement Speakers Academy®

This Privacy Policy describes how Speakers Academy® handles your personal data.

Speakers Academy® processes personal data to provide our services and products to you, to inform you about our services, and to manage your account. We consider careful handling of personal data to be of great importance. Therefore, we process and secure personal data very carefully. In our processing, we adhere to the requirements set by the General Data Protection Regulation (GDPR). We are responsible for the data processing, and in this Privacy Policy, we explain which personal data we collect, use, and for what purpose.

1. Who we are

We are Speakers Academy®, an international intermediary between speakers and clients. This means that we mediate in engaging Dutch and international speakers. We also organize meetings and seminars with our speakers and are co-founder of Grand Speakers Business & Knowledge Club. Additionally, we publish, among others, ACADEMY® Magazine.
Speakers Academy® B.V. (trade register 24153344) is responsible for the processing of your personal data. We are located at Zestienhovensekade 180, 3043 KV in Rotterdam.

2. Purpose and processing of personal data

Speakers Academy® processes your personal data according to the purposes and procedures described in the General Data Protection Regulation. We distinguish two types of personal data processing: on the one hand, the processing of data from relations (clients, potential clients, suppliers, and people in our network) and on the other hand, personal data of (potential) speakers for providing lectures, chairmanships, workshops, audio-visual productions, and other services for relations.

Relations

We only process data from our relations that are necessary for our services. We keep and use only the personal data that you provide directly (for example, via a form on our websites, email, or phone contact) or that is clearly provided to us to process (data we receive from our speakers for potential services with you). We generally do not store special personal data from relations, but only name, address, and contact details, email address, phone number, organization, and contact person details. We enrich this information with our data about you gained during conversations and electronic contact or through mediating speakers.

The following personal data is processed:

• Execution of agreements

We process personal data such as name and contact details, business information, and financial details.

• Marketing

We process your personal data to inform you and keep you updated about our services and speakers, our partners, offers, to invite you to seminars and events, to send newsletters, and other forms of marketing communication, such as the ACADEMY® Magazine we publish, which may be of interest to you.

You have the right to opt-out of this information provision at any time. Depending on your preferences, you can unsubscribe, change your settings directly online, for example, for the newsletter, or contact our Front Office to do this for you via info@speakersacademy.nl.

• Legal obligations

We process your personal data to comply with legal obligations, such as keeping accounts or meeting legitimate requests from competent authorities (for example, the Tax Authority).

• Service

We use your data to assist you in using our services, improving the quality of our services, and conducting customer satisfaction surveys. Additionally, we use your data to maintain contact with you and our speakers.

• Execution of general business processes, internal management, and reporting.

To carry out our business activities, we use your personal data for general business processes. For example, we process your data for archiving purposes, management reports, audits, and other administrative purposes.

Speakers

When registering as a speaker, we ask for your name (such as first name, last name, gender), contact details (such as phone and email), and your CV or an online profile. We need this information to assess whether we see possibilities for future assignments and to inform you about the outcomes of this assessment.

In collaboration with the speaker, we process personal data necessary for the delivery of our services. The following personal data is processed:

• Execution of agreements

We process personal data you have provided to us yourself, such as contact details, business information, and financial details.

• Marketing

We process (special) personal data you have provided to us and which we are allowed to use to bring you to the attention of our relations and third parties, for example, via an online profile on our websites, social media and video channels, print media, and direct marketing. This may also include data about your education and profession, political opinions, ethnic origin, philosophical and religious beliefs, video and image recordings.

• Legal obligations

We process your personal data to comply with legal obligations, such as keeping accounts or meeting legitimate requests from competent authorities (for example, the Tax Authority).

• Speaker service and communication

We use your data to support you in using our services, improving our services, and advising you about your services, such as keeping conversation notes and contact with our legal and commercial helpdesk for speakers. Additionally, we use your data to maintain contact with you and our relations.

• Newsletter

If you sign up for our newsletter, we process your personal data. For more information, please see our privacy statement newsletter.

• Execution of general business processes, internal management, and reporting.

To carry out our business activities, we use your personal data for general business processes. For example, we process your data for archiving purposes, management reports, audits, and other administrative purposes.

Speakers Academy® is an international organization. We work with relations and speakers located in Europe, North and South America, Asia, the Middle East, and Africa. This means that in the context of executing the agreement, we process personal data (such as name and contact details) outside the European Union. We will only share other personal data if we have received your consent.

3. Retention period

We do not store personal data longer than necessary to fulfill the purposes for which the data was collected or as required by law.

4. Security

To prevent misuse, loss, unauthorized access, unwanted disclosure, and unauthorized modifications, Speakers Academy® takes appropriate technical and organizational measures. Persons who have access to your data or files on behalf of Speakers Academy® are obliged to maintain confidentiality. Speakers Academy® uses generally accepted standards of technological and operational security in the industry to protect personal data against loss, misuse, alteration, or destruction. If you suspect your data is not securely protected or there are indications of misuse, please contact Speakers Academy®.

5. Sharing with third parties

Speakers Academy® does not share your data with third parties and will only provide them to execute our agreement with you or to comply with a legal obligation, such as to the Tax Authority.

We collaborate with external individuals or organizations to perform services regarding Speakers Academy®, such as with La Posta for our newsletter. Processing agreements have been made with these externals to ensure the same level of security and confidentiality of your data.

Furthermore, we will only provide data to third parties if we have received your consent to do so.

Links to external websites and organizations may be shown on our websites, social media, other channels, and in the newsletter. We are not responsible for how these organizations use your data. Please read the privacy statement of the website you visit for this.

6. Cookies

Via cookies, data about you may also be stored, such as the websites you visit and other browsing behavior. For more information, please see our cookie policy.

7. Basis for processing

In processing personal data by Speakers Academy®, we rely on various bases. Data processing may be necessary for the execution of an agreement (to provide services) that we have entered into or may be necessary to comply with a legal obligation. In some cases, we request your explicit consent, for example, for the use of certain cookies, or when you are not a relation or speaker, for receiving commercial communication.

Finally, some processing is based on a legitimate interest of Speakers Academy, such as executing our objective and mission, processing in the context of internal management, for effective communication, quality improvement, or direct marketing processing for relations and speakers, and active contacts of Speakers Academy®. In the latter case, an opt-out is always offered.

8. Your rights

You have the right to access, correct, supplement, delete, or block your personal data if the data is incomplete, incorrect, or processed in violation of a legal regulation. Additionally, you have the right to request the data we hold about you. If you want to exercise your rights, send an email to privacy@speakersacademy.nl.

9. Changes to Privacy Statement

Speakers Academy® reserves the right to make changes to this Privacy Policy, for example, when changes occur in processing or if regulations change. In the event of major changes, Speakers Academy® will bring this to your attention.
